Position Overview:

 

The Outreach Specialist plays a vital role in supporting students' engagement with the organization by contacting students, scheduling appointments, monitoring attendance, and assisting with light office duties. This individual will be responsible for maintaining accurate records, performing data entry, and providing general administrative support to ensure efficient operations.

 

Key Responsibilities:

  • Student Outreach:
    • Contact students via phone, email, and text to inform them of upcoming events, appointments, or required actions.
    • Serve as the primary point of contact for scheduling student appointments, ensuring that calendars are updated and conflicts are minimized.
  • Appointment Scheduling:
    • Coordinate and schedule student appointments with staff or relevant departments.
    • Confirm scheduled appointments and send reminders to students in a timely manner.
  • Attendance Monitoring:
    • Track and monitor student attendance for classes, appointments, and special events.
    • Follow up with students regarding attendance concerns, helping as needed to promote engagement.
  • Data Entry & Record Keeping:
    • Accurately enter and update student information into the organization's database.
    • Maintain detailed records of communications, appointments, and attendance.
  • Administrative Support:
    • Assist with light office duties such as filing, photocopying, answering phones, and responding to general inquiries.
    • Provide support for department events, meetings, and other administrative tasks as needed.

Qualifications:

  • Education & Experience:
    • High school diploma or equivalent required; associate degree preferred.
    • Previous experience in outreach, administrative, or customer service roles is preferred.
  • Skills:
    • Excellent verbal and written communication skills.
    • Strong organizational and time management skills.
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with database systems.
    • Bilingual Spanish preferred.
    • Ability to multitask and work in a fast-paced environment.
  • Personal Attributes:
    • Friendly, professional, and able to engage effectively with diverse student populations.
    • Detail-oriented with the ability to maintain accuracy in data entry and record keeping.
    • Self-motivated, reliable, and able to work both independently and as part of a team.
  • Hourly pay: $25

Clearances:

  • Criminal Justice Fingerprint/Background Clearance.
  • Tuberculosis Skin Test.

Public Health Compliance

  • Must follow safety and health protocols.
